Piper Companies is seeking a detail-oriented and customer-focused Administrative/Event Coordinator to support the planning and execution of meetings, events, and conferences across multiple facilities. This is a 5-month contract opportunity and is on-site (5 days per week) in Lancaster, PA.
Responsibilities
- Coordinate and support all meetings, events, and seminars held in the conference center to ensure a smooth, positive experience for attendees.
- Manage the room reservation system—assist users with scheduling, maintain accurate records, and prepare simple reports as needed.
- Serve as backup support for event technology, including setting up laptops, projectors, and microphones for presentations.
- Partner with Catering, Environmental Services, and Audio Visual teams to confirm room setups, event details, and day-of logistics.
- Lead weekly planning meetings to review upcoming events and ensure all spaces and services are ready.
- Conduct pre-event walk-throughs with organizers to review room setup, technology, and any special requests.
- Handle room setups and breakdowns for meetings, blood drives, and special events as needed.
- Maintain supplies and basic AV equipment, placing orders and keeping inventory organized.
- Provide clear, friendly communication and excellent customer service to all internal and external event hosts.
Qualifications
- Education: High school diploma or GED required; Associate or Bachelor’s degree preferred.
- Experience: At least 3 years in an administrative, event coordination, or customer service role.
- Comfortable with basic technology setup (connecting laptops, projectors, and microphones).
- Strong organizational and communication skills, with attention to detail and the ability to manage multiple events at once.
- Demonstrated teamwork, flexibility, and problem-solving in a fast-paced environment.
- Must be in good standing with all federal and state healthcare programs (Medicare, Medicaid, etc.).
Compensation:
- Hourly pay rate: $32 - $36 per hour
- Comprehensive Benefits: Medical, Dental, Vision, Sick Leave if required by law
